Terms of Service

2.1 The service

Founder's Dock lets you track compliance requirements and records for people (such as staff, candidates and contractors), keep related documents and client records, receive reminders and reports, and use related features we make available. Features may change over time.

2.2 Accounts and users

• Each account has one owner and up to two further invited members (three people in total). The owner is responsible for who is invited and for everything done in the account.
• Keep your sign-in details secure. Tell us promptly at info@myfoundersdock.com if you think your account has been accessed without permission.
• You must be at least 18 and have authority to bind the business you register.
• Invitation links are single-use and expire after 7 days.

2.3 Plans, payment and cancellation

• SaaS plans include a 14-day free trial. Unless you cancel before it ends, we charge the card you provided for the chosen plan.
• Prices are shown at sign-up and are processed by Stripe.
• Subscriptions renew automatically until cancelled. You can cancel at any time in Settings; cancellation takes effect at the end of the paid period.
• Fees already paid are not refundable except where the law requires.
• If your plan ends or payment fails, your account becomes read-only. You can still view and export what is there, but cannot add or change records until you pay again. Your data is kept, not deleted, when a plan lapses.

2.4 Your content and responsibilities

You own the information you put into Founder's Dock ('your content'). You give us permission to store and process it solely to provide the service. You are responsible for:

• having a lawful basis, and where needed a further condition, for everything you record about other people, including special category and criminal offence data such as DBS results and right-to-work evidence;
• giving people any privacy information they are entitled to;
• the accuracy of your content, and for keeping and deleting records in line with your own legal duties;
• uploading only PDF, JPG or PNG files of 15 MB or less, and not uploading anything unlawful or harmful.

Where we process personal data in your content for you, our Data Processing Agreement applies and forms part of these terms.

2.5 Acceptable use

You must not misuse the service: no attempts to access other customers' data, probe or disrupt the platform, upload malicious files, resell access without agreement, or use the service to break the law. We may suspend an account that does so.

2.6 Not legal or regulatory advice

Founder's Dock is a record-keeping and reminder tool. Templates, categories, checklists, scores, forms and any suggested wording are general aids only. They are not legal, compliance, regulatory or employment advice, and they do not guarantee that you meet any law, standard or inspection requirement (including those of the Care Quality Commission or any other regulator). You remain responsible for your own compliance and should take professional advice where needed. A green status means only that the records you entered satisfy the rules you set up. Wording produced with the AI tailoring tool is a draft. You must read and check it before use. Policies and documents generated or suggested by the service, including AI suggestions, are drafts. You are responsible for reviewing them and deciding whether they suit your business. They are not legal advice.

2.7 Availability and support

We aim to keep the service available and to fix problems promptly but do not guarantee uninterrupted service. We may carry out maintenance. Support is available at info@myfoundersdock.com.

2.8 Reminders and emails

Reminders and digests are sent by email as a convenience. Delivery depends on third parties and can fail. You should not rely on an email reminder as your only control for an expiring document.

2.9 Intellectual property

We own the service, its software, design and branding. You own your content. We may use anonymised, aggregated usage statistics that do not identify you or any individual.

2.10 Ending the agreement

You may close your account at any time from Settings. Closing deletes your records and login as described in the Privacy Policy. We may suspend or end your account for serious breach or non-payment after reasonable notice where practicable. Before closing, download anything you need: deletion of records is permanent.

2.11 Liability

Nothing limits liability that cannot be limited by law, including for death or personal injury caused by negligence or for fraud. Subject to that, we are not liable for indirect or consequential loss (such as lost profit or business interruption), and our total liability to you for all claims in any 12-month period is limited to the fees you paid us in that period.

2.12 Changes, law and disputes

We may update these terms and will give at least 30 days' notice of material changes by email. These terms are governed by the law of England and Wales and the courts of England and Wales have jurisdiction, subject to any mandatory consumer rights.
